How Hydrosystems handles distributor applications and website data.

1. Data controller

2. Information we collect

When you apply, we collect your first and last name, job role, company name, website or social profile, business email, phone number, country, business type, expected order range, purchase plans and any information you voluntarily supply. We also receive technical information needed to run and secure the website, and campaign parameters (such as UTM values and fbclid) included in the URL of your visit.

3. Why and on what basis we process data

• Responding to your distributor enquiry: to review your application, confirm suitability, answer questions and discuss requested distributor terms. Our lawful basis is taking steps at your request before entering a possible contract, where applicable, and/or our legitimate interest in handling B2B enquiries.
• Business records and compliance: to retain records where legally required and protect our legitimate rights.
• Website security and operation: to keep the form working and prevent misuse, based on legitimate interests or legal obligations as appropriate.
• Optional analytics and advertising: we use non-essential technologies only when you give the relevant cookie consent, subject to the separate privacy and ePrivacy requirements.

We do not require consent to optional marketing cookies in order to submit an application. We do not add you to a newsletter merely because you apply.

Authorised Hydrosystems staff and contracted service providers involved in hosting, handling form applications, communications, CRM and technical support may access data where necessary. The distributor form currently sends application details to a LeadConnector / GoHighLevel endpoint. Service providers act under applicable data protection arrangements. We do not sell applicant personal data.

5. International transfers

Some technology providers may process information outside the European Economic Area. Where required, we use an applicable lawful transfer mechanism, such as adequacy decisions or standard contractual clauses together with appropriate safeguards. Ask us for details about a specific provider.

6. Retention

We keep application data only as long as reasonably necessary to evaluate the enquiry, manage a potential or actual commercial relationship, comply with legal duties or handle disputes. Retention depends on the outcome and legal requirements.
